Clinic Administrator
Description
Acorn Health is looking for a full-time Clinic Administrator (local/in-person) to join our team! Come join a company focused on delivering high quality services to its clients and supporting the professional development of its employees!
The Clinic Administrator plays a key role in bringing our mission to life by shining a light on our scheduling and administrative opportunities to improve our clinical outcomes and enhance our business performance.
Salary range starting at $45000.00
The cornerstones of the Clinic Administrator role are:
- Creating future schedules that will maximize prescription fulfillment and tech utilization, ensuring our clients consistently access their clinically prescribed hours and our employees have work scheduled they can count on
- Working each day to cover same-day cancellations and change requests
- Providing analytical scheduling recommendations to our Clinical Directors
- Prioritizing multiple tasks while remaining organized and engaged
- Communicating sometimes difficult information to families and coworkers directly, always with kindness and professionalism
Responsibilities:
- Creating the future schedule for multiple business units, using Central Reach, PowerBI and Excel to increase our client prescription fulfillment, behavior technician availability utilization, and future scheduled hours
- Providing recommendations for client and technician pipeline with insights from future scheduling
- Weekly meetings with Clinical Directors to go over scheduling needs and recommendations
- Communicating with client families and employees for long-term scheduling needs as well as day-of/short notice appointment changes
- Monitoring phone lines and Teams channels from 7:00am-4:00pm each day in order to manage same day call-ins for clients and behavior technicians, utilizing our standardized scheduling tools and call-in process (finding coverage for clients and/or substitute sessions for behavior technicians)
- Assisting with Central Reach appointment maintenance by adjusting appointments as needed and monitoring and actioning unconverted appointments
- Collaborating with Clinical Directors and the compliance team to ensure that all compliance requirements are met
- Provide administrative and scheduling support to assigned business unit(s)
- Other administrative duties as assigned (up to 25% of time)
Job Requirements
Education and Experience:
- Strong analytical, multi-tasking, and scheduling skills
- Experience working in a fast-paced environment
- Ability to manage relationships with a wide range of stakeholders, through verbal and written communication.
- Intermediate Microsoft Excel Experience
- Team player attitude
- Ability to adapt well to change
- Must possess a minimum of a high school diploma; Bachelor's Degree in a business-related field is preferred
- 1 year of administrative experience, ABA experience preferred with a knowledge of Central Reach
- Strong preference for ability to work in assigned business unit(s), daily

- Excellent oral and written communication skills
- Must be able to manage multiple projects across multiple markets at any given time
- Solid understanding of web metrics and digital analytics, with the ability to generate, analyze and interpret data
- Strong time management skills
- Must demonstrate strong organizational skills, be detail oriented, and demonstrate an ability to maintain confidential records, prepare reports, and reliably develop timely correspondence related to work according to agency standards
- Must have the ability to work independently
